Advantage Outsourcing Co ("we", "us", "our") respects your privacy and is committed to protecting personal information you share with us. This Privacy Policy explains how we collect, use, store, and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. What information we collect

We may collect the following kinds of information:

  • Contact details — name, email address, phone number, postal address (e.g. when you submit a booking enquiry or contact form).
  • Property details — addresses, access instructions, and inspection-related notes provided by agencies or property managers.
  • Staff information — names, personal email addresses, role assignments, work hours, and inspection records for our contractors and employees.
  • Account credentials — passwords are stored in a hashed form (we never store plain-text passwords).
  • Technical information — IP address, browser type, and basic usage logs for security and service-quality purposes.
  • Location data — the Staff Hub mobile app captures GPS location at clock-in and clock-out for payroll accuracy and staff safety, with no continuous background tracking.

2. Why we collect it

  • To deliver inspection, photography, and reporting services.
  • To communicate with clients, agencies, and staff about jobs.
  • To process bookings and issue invoices.
  • To operate, secure, and improve our website and staff portal.
  • To meet legal and regulatory obligations.

3. How we store and protect it

Personal information is stored on systems operated by Advantage Outsourcing Co in Western Australia. We use industry-standard security measures including encrypted connections (HTTPS), hashed passwords, restricted internal access, and regular automated backups (encrypted, replicated offsite to Cloudflare R2). Despite reasonable safeguards, no system is 100% secure; if a notifiable data breach occurs we will comply with our obligations under the Notifiable Data Breaches scheme. We maintain a written internal Data Breach Response Plan covering immediate containment, evidence preservation, OAIC notification (within 30 days), and direct notification to affected individuals.

4. Who we share it with

We do not sell personal information. We share information only with:

  • Real-estate agencies and property managers, where necessary to complete the inspection or report they engaged us for.
  • Trusted service providers we use to operate the business, each bound by confidentiality and used only for the purpose listed:
    • Resend (US) — sends transactional emails (invites, password resets, payroll digests).
    • Cloudflare (global) — secure network access (Tunnel) and offsite backup storage (R2).
    • Sentry (US) — captures application error reports so we can fix bugs. Receives technical diagnostics (stack traces, browser type, URL of the error) and may include the logged-in user's internal ID; does not receive passwords, contact details, or the contents of inspections.
    • Google Maps API — receives lat/lng coordinates to reverse-geocode a clock-in pin into a street address. We do not retain the request beyond the resulting address.
  • Government, law enforcement, or regulatory bodies where we are required by law to do so.

5. Cookies and tracking

Our website uses essential cookies to keep you signed in and to provide core functionality. We do not use advertising trackers. If we add analytics in future, we will update this policy and (where required) request your consent.

6. Your rights

Under the Australian Privacy Principles, you have the right to:

  • Request a copy of the personal information we hold about you.
  • Request that we correct information that is inaccurate or out of date.
  • Request that we delete your information, subject to our legal obligations to retain certain records.
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Staff members can delete their own account directly from inside the Staff Hub: open the menu (top-right), then "Delete my account". This signs you out, stops you logging back in, and removes your name, email, phone, and date of birth from our active records. Historical work records (shifts, time entries, payroll history) are kept as legally required but no longer carry your personal information.

7. Data retention

We retain inspection records and related personal information for as long as required to provide our services and to meet legal record-keeping obligations (typically 7 years for business records under Australian tax law). When information is no longer required, we securely destroy or de-identify it.
